How to Get an Accurate Moving Quote: Over the Phone vs In-Person

Ringing a few movers and asking "how much for a 2BHK?" is a reasonable first step. You get a rough range and find out who is available on your date. But that number is an estimate, not a quote. The final cost depends on details that are hard to describe on a call and easy to forget: the third wardrobe in the guest room, the forty steps down to the road, the lift too small for the fridge.

This guide explains what a phone estimate can tell you, what a survey adds, and how to compare quotes so you are comparing the same job.

What a phone estimate is good for

A short call can establish:

• A broad price range for your home size and distance
• Whether the company serves your route and is free on your date
• Which services they offer (packing, dismantling, vehicle transport, storage)
• The main things that will move the price up or down

What a phone estimate usually misses

Bedroom count is a poor measure of volume. Two 2BHKs can differ by half a truck. One has a bed, a sofa and thirty cartons. The other has three wardrobes, a dining set, a treadmill, a full bookshelf and a balcony of plants.

The property matters as much as the contents, and a call rarely captures:

• Floor level and whether there is a usable lift (floors without a lift are typically ₹200–₹500 each)
• Lift size compared with your largest items
• How far the vehicle can get from the door: narrow lanes, sloping drives, society parking rules
• Steps between the road and the house, which is common in Mussoorie and on hillside plots
• Furniture that must be dismantled to leave the room
• Fragile or unusual items: glass tops, artwork, a piano, large plants

Every one of these changes the number of people, the time on site or the vehicle. When they come up only on moving day, they appear as extra charges.

What happens in a free home survey

A surveyor visits, usually for 20 to 45 minutes depending on the size of the home, and walks through every room with you. They will typically:

1. List the furniture, appliances and approximate carton count room by room
2. Note fragile, high-value or awkward items that need special packing
3. Check what needs dismantling and what can move as is
4. Look at stairs, the lift, the entrance and where the vehicle can stand
5. Ask about the destination's access, floor and parking
6. Confirm the services you want and your date

The quote that follows should be in writing and should name the vehicle, the services included and any charges that could still apply.

Making the survey count

• Show everything that is moving, including the loft, store room, terrace and parking area
• Point out what is not moving, so it isn't counted
• Describe the destination honestly: floor, lift, lane width, steps
• Ask whether GST, packing material, unloading and transit insurance are included

When a video survey works

If you are out of town, short of time, or arranging a parent's move from another city, a video call walkthrough is a good substitute. Walk slowly through each room, open wardrobes and lofts, show the staircase and lift, and step outside to show the approach road and where a vehicle could park.

The rule is simple: anything you don't show may not be in the price. For large homes or difficult access, an in-person visit is still worth it.

1. Give every mover the same inventory and the same description of both addresses.
2. Ask each one for a survey, in person or on video.
3. Get every quote in writing with services listed separately.
4. Check the same lines on each: packing material, labour, loading, transport, unloading, dismantling and reassembly, floor charges, GST, insurance.
5. Ask each mover what could make the final bill differ from the quote.
6. Compare scope and conditions, then price.

If one quote is much lower than the rest, ask what it leaves out. It may be a smaller vehicle, a shared load or no unpacking. That can be fine, as long as you know.

If your inventory changes after the survey

Tell the mover before moving day. An extra almirah, a second fridge from a relative or a decision to take the dining set changes the volume, and maybe the vehicle. Removing large items can bring the price down too. A quote is only as accurate as the information it was built on.
