IBA Approved Movers: What It Means When Your Employer Pays

If your employer is paying for your move, the mover you pick is not entirely your decision. Most banks and a good number of PSUs will only reimburse a relocation carried out by an IBA approved transport operator, and they will ask for paperwork that an unregistered mover simply cannot produce.

This is the part people find out too late, usually after the goods have already been delivered and the claim has been rejected.

What IBA approval actually is

The Indian Banks' Association is a body of member banks and financial institutions. It maintains a scheme under which transport operators are vetted and issued an approval certificate with a reference number.

Approval is not a rubber stamp. An operator has to show a minimum trading history, a fleet of its own commercial vehicles rather than borrowed ones, the ability to issue proper truck receipts, and financial records that stand up to inspection.

The certificate is what a bank's accounts department is actually looking for when it processes a relocation claim.

Why it matters for a reimbursed move

Ask your HR or accounts team what they need before you book anything. In most cases the list looks like this:

• An itemised quotation on the mover's letterhead
• A GST invoice showing the mover's GSTIN
• A truck receipt or bilty for the consignment
• The mover's IBA approval certificate number
• Proof of payment

An unregistered operator can produce a quotation and take your money. It cannot produce a GST invoice or a valid IBA reference, and without those two the claim usually stops.

The gap between a quote and a claim

A cheaper quote from an unregistered mover is not cheaper if the money never comes back to you. On an intercity household move, the difference between a registered and an unregistered operator is often a few thousand rupees. The reimbursement being refused costs the entire move.

This is the single most common reason we get called by someone whose shift has already happened.

How to verify a mover before you book

Do not accept a verbal claim of approval. Anyone can say the words.

Ask for the certificate number in writing Ask for the GSTIN and check the name on it matches the company you are dealing with Confirm the address on the invoice is a real office you can visit Ask whether the truck receipt will be issued in the company's own name

If a mover hesitates on any of these, that is the answer.
