If your employer is paying for your move, the mover you choose is not entirely your decision. Many banks, public sector undertakings and government offices will only reimburse household-goods transport carried out by an IBA approved transporter, and they will ask for paperwork that an unregistered operator cannot produce. People often find this out after the move, when the claim comes back.

What IBA approval means

IBA is the Indian Banks' Association, the representative body of banks operating in India. Under its scheme, transport operators, including packers and movers, can apply to be approved. An approved operator is issued a certificate with a reference number and a validity period.

For you, the certificate is a document your employer's accounts team can rely on when processing a transfer claim. It is not a quality rating, and it does not replace the normal checks you would make on any mover.

Why banks, PSUs and government employers ask for it

• A recognised standard. An IBA approved transporter gives the accounts team a common reference point instead of judging each mover separately.
• Proper paperwork. A claim usually needs a GST invoice, a consignment note and a quotation from a registered business. Approved transporters are set up to issue these.
• Fewer disputes. A documented, registered transporter makes the claim easier to verify and audit.

Rules differ between employers. Some require IBA approval for every transfer claim; some only above a certain amount; some accept other registered transporters. Some also ask for more than one quotation. Read your own transfer circular or ask HR.

How to check a mover's IBA approval

1. Ask for the certificate number in writing, along with a copy of the certificate.
2. Check the name and address on the certificate against the quote and, later, the invoice. They should be the same business.
3. Check the validity date. Approvals are issued for a period. An expired certificate may not be accepted.
4. Check the GSTIN on the official GST portal using "Search Taxpayer". The name should match the certificate.
5. Ask your HR or accounts section whether they accept the certificate, before you pay a booking amount.

Do not accept a verbal "we are IBA approved". It costs nothing to say and a lot to get wrong.

Documents to collect for a reimbursement claim

Your employer will tell you its exact list. Commonly requested documents include:

• A written, itemised quotation on the mover's letterhead.
• A GST invoice showing the mover's GSTIN.
• A consignment note (GC, lorry receipt or bilty) for the goods.
• The mover's IBA approval certificate number, and a copy if asked.
• An inventory or packing list.
• Proof of payment.
• If you moved a car or bike, the vehicle transport receipt.

Ask for these at the time of booking, not after delivery. If your employer needs a specific format, for example separate lines for packing, transport and vehicle, tell the mover before the quote is issued.

Why a cheaper unregistered mover can cost more

An unregistered operator may quote a little less. But if it cannot issue a GST invoice or a valid IBA reference, your employer may refuse the claim, and then you pay for the whole move yourself. On an intercity move, that is a much bigger risk than the difference between quotes.
